When you contact us (e.g., via contact form, email, phone, or social media), we process the information you provide to the extent necessary to respond to your inquiry and fulfill any related requests.
Responses to inquiries in the context of contractual or pre-contractual relationships are made to fulfill our contractual obligations. Other responses are based on our legitimate business interests in responding to communications efficiently.

10. Job Applications and Applicant Communications
We process personal information submitted by job applicants through our online forms, email, or other channels, for the purpose of managing the application process and communicating with applicants.
The legal basis for this processing is contract performance (pre-contractual steps) and, where applicable, your consent (e.g., for retaining your application beyond the active recruitment process).
If you are not hired, we retain your application data for up to 12 months to consider you for future positions — but only if you have given consent for this purpose. You may withdraw consent at any time by emailing privacy@voizeai.com. Upon withdrawal or expiration of the retention period, your application will be permanently deleted, unless a legal retention obligation applies.
11. Interview Transcription (Granola & ChatGPT)
In connection with job interviews, we use software tools to document conversations, specifically Granola (www.granola.ai) and ChatGPT Enterprise (www.openai.com/chatgpt).
11.1 Granola
When using Granola, no audio or video material is stored. Instead, a real-time transcript of the conversation is generated for internal follow-up purposes. Processing is solely for documenting the conversation — not for evaluating applicants.
Transcripts are stored on secure servers in the United States. Granola implements appropriate data protection measures. Please note that, at the time of writing, Granola does not offer a formal Data Processing Agreement (DPA); we will update this notice if this changes.
11.2 ChatGPT Enterprise
When using ChatGPT Enterprise for transcription, processing occurs locally on the device. Audio is deleted immediately after transcription; only the transcript is retained in accordance with voize's retention policies.
OpenAI does not have access to content processed through Enterprise features. Data is not used to train OpenAI's models. See the

11.3 Legal Basis
Processing is based on your express consent. Consent is voluntary and may be withdrawn at any time with future effect by emailing privacy@voizeai.com.
12. Messenger Communications
We use messaging applications (including Telegram and WhatsApp) for communications purposes. You may also contact us via phone or email using the contact details in this Privacy Policy.
Where messages are end-to-end encrypted, the content of communications is not accessible to the messenger provider. Please use an up-to-date version of the relevant messenger app with encryption enabled.
Please be aware that messenger providers may be able to determine when you communicated with us and collect technical metadata (e.g., device information and, depending on your settings, location data).
Legal Basis: Consent where we request your permission before communicating; contract performance in the context of contractual relationships; legitimate business interests for other communications. We will not share your contact details with messenger platforms without your consent.
Withdrawal: You may withdraw consent or object to messenger-based communication at any time. We delete messages once we have fully addressed an inquiry and no follow-up is anticipated, unless a legal retention obligation applies.

13. Chatbots
We offer a chatbot feature as a means of communication. When you interact with our chatbot, we may process your personal information, including your platform identifier (if using an online platform), the content of conversations, and timestamps and consent records.
Please be aware that the relevant platform provider may collect metadata about your chatbot interactions for service optimization and security purposes.
Users who opt in to regular chatbot updates may unsubscribe at any time. Upon unsubscription, user data is removed from the recipient list.

Surveys we conduct are analyzed anonymously. 15. Web Hosting and Server Logs
To deliver our Online Services securely and efficiently, we use web hosting providers. In connection with hosting, we may process infrastructure, computing, storage, database, security, and technical maintenance services.
All data generated through use of our Online Services may be processed in connection with hosting, including IP addresses and any inputs made through our Online Services.
Server Log Files: We (or our hosting providers) collect data on every server access, which may include: addresses and names of pages accessed, date and time of access, data volume, success status, browser type and version, operating system, referring URL, and IP addresses.
Server logs are used for security purposes (e.g., detecting and mitigating DDoS attacks) and to ensure server stability and performance.

16. Newsletter and Email Communications
We send newsletters, emails, and other electronic communications ("Newsletters") only with recipient consent or as otherwise permitted under applicable law, including the CAN-SPAM Act (15 U.S.C. § 7701 et seq.) and applicable state laws.
To subscribe to our Newsletter, you need only provide your email address. We may also request your name for personalization.
Double Opt-In: Newsletter sign-ups use a double opt-in process. After registering, you will receive a confirmation email. Registration is logged to demonstrate compliance, including the time of sign-up, confirmation, and the IP address used.
Unsubscribe / Opt-Out: You may unsubscribe at any time by clicking the unsubscribe link in any Newsletter, or by contacting privacy@voizeai.com. We honor opt-out requests promptly in accordance with CAN-SPAM and applicable state law requirements.
Retention: We may retain unsubscribed email addresses for up to three years to document previously given consent and defend against related claims. We maintain a suppression list to ensure unsubscribed contacts do not receive further communications.

We use IP masking (pseudonymization by truncating IP addresses) to protect user identity. We do not store clear-text user identifiers (such as email addresses or names) in analytics data.

18. YouTube
Our website embeds videos from YouTube LLC, 901 Cherry Avenue, San Bruno, CA 94066, USA (a subsidiary of Google LLC). We have enabled YouTube's enhanced privacy mode, which means YouTube does not set tracking cookies unless you click to play a video.
When you play a video, your IP address is transmitted to YouTube. If you are logged into a YouTube account, this may be linked to your account (to prevent this, log out of YouTube before playing videos). We have no control over YouTube's subsequent data collection or use.

19. Online Marketing
We process personal information for online marketing purposes, including displaying interest-based advertising and measuring its effectiveness. User profiles may be created and stored in cookies or via similar methods.

LinkedIn also enables retargeting, allowing voize to display targeted advertising off-site without identifying individual visitors. LinkedIn members can manage advertising preferences in their LinkedIn account settings.
20. Data Retention and Deletion
We delete personal information when it is no longer needed for its original processing purpose, when consent is withdrawn, or when other legal permissions expire.
Where data cannot be deleted because it is required for other lawful purposes (e.g., tax, accounting, or legal retention obligations, or defending legal claims), processing is restricted to those purposes only and the data will not be used for any other purpose.
21. Updates to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our data practices or legal requirements. We will notify you of material changes in accordance with applicable law (e.g., by email or prominent notice on our website). We encourage you to review this Privacy Policy periodically.
