Documentation demands impacting quality and workload

For a long time, charting for staff at SMMP Seniorenhilfe meant either walking all the way to the nursing station, waiting for a free PC, or jotting notes on the backs of their hands or on scraps of paper. Important health observations accumulated throughout the shift, but were only able to be entered at the end. The consequences: entries were incomplete. These gaps in residents’ records become obvious during medical service audits, resulting in lower grades for the facility. Having staff stay later to catch up on PCs did not fix the problem either. In fact, staff at SMMP Senior Care were accumulating overtime and building up frustrations, chart by chart.

The solution

Voice AI that integrates documentation into the care workflow

Recognition of voize’s value came originally from within SMMP Seniorenhilfe itself: one of SMMP’s nursing service managers brought voize to the admin board and SMMP decided to test a pilot run in 2023. Since then, the facility has continued to utilise voize to create documentation closer to the moment of care, not later under time pressure, solely relying on memory or scribbled notes. voize’s AI understands professional care terminology, recognises dialects and accents, and automatically transfers spoken input as a structured entry into the facility’s EHR system. This made documentation faster and more complete, ensuring a reliable foundation for quality directly relating to care and audits.

How it worked

From a singular facility’s pilot programme to company-wide rollout

SMMP Seniorenhilfe left nothing to chance when introducing voize. From the very beginning it was clear: a tool alone changes nothing. It takes people to carry the change from within.

  • Initially a pilot launched in one facility followed by a gradual rollout to additional SMMP locations.
  • Had dedicated voize champions in each facility to clarify staff questions, facilitate new workflows, and maintain a stable usage of voize.
  • Instituted regular evaluations: 24-hour documentation time surveys, once a year, per facility to illuminate voize’s impact.
  • Included digital staff surveys during voize’s implementation phase for continuous feedback monitoring.
